Why We Built Our Own Software
At Occam Immigration, we have an unwavering obligation to protect the attorney-client relationship. When we evaluated commercially available AI tools for our practice, we found that none of them met the standard our clients deserve. Most AI-powered legal tools send your information (names, case details, immigration history) directly to third-party AI services, where it becomes part of a request that travels across the internet to someone else’s servers.
That was not acceptable to us.
So we built our own platform from the ground up. Not because we wanted to be a software company, but because our ethical obligations demanded it. By controlling every layer of the technology our team uses, we can guarantee exactly how your information is handled. That level of control is simply not possible when relying on off-the-shelf products.
How AI Works (In Plain Terms)
When a law firm uses AI as part of its workflow, here is what typically happens:
- Your information is packaged into a request. The software takes the relevant details (your name, case type, dates, and other facts) and sends them as an instruction to an AI model. For example: “Compare the data on this form against the client’s records and flag any inconsistencies.”
- The AI model processes the request. A powerful computer operated by a company like Anthropic, OpenAI, or Google reads the request, performs the analysis, and sends back its findings.
- The results are delivered to the attorney. Your lawyer reviews the AI’s output, exercises professional judgment, and decides what action to take. No AI output ever reaches you or a government agency without human attorney review.
The concern is in step one: if your actual name, passport number, or case history is included in that outbound request, your private information has traveled to a third-party server, even if only momentarily.
How We Protect Your Information
We use a technique we call identity shielding. Before any request leaves our secure environment and travels to an external AI model, our system automatically:
- Identifies personal information in the request, including names, dates of birth, immigration file numbers, addresses, and other identifying details.
- Replaces each piece of personal information with a random code. For example, your name might become
[PERSON-7X2K]and your case number might become[CASE-4M9R]. These codes are meaningless to anyone outside our system. - Sends only the scrubbed version to the AI model. The AI never sees who you are. It sees something like: “Verify that the data entered on [FORM-1] for [PERSON-7X2K] matches the following records: date of birth [DATE-A], country of birth [COUNTRY-1], current address [ADDRESS-2B8Q]. Flag any discrepancies.”
When the AI’s response comes back (for example, “[FORM-1] field 14 lists [DATE-A] but the supporting document shows [DATE-B]. Recommend review.”), our system reverses the process. It finds every random code in the response and replaces it with the original information, so your attorney can read the finding in context and take action. The translation happens entirely within our private, encrypted servers. The AI model never knew your name, and the results of its review never left our environment in an identifiable form.
To put it simply: the AI checks the work, but it never knows whose work it is checking.
What the AI Model Actually Sees
Here is a simplified example of what an external AI model receives from our system versus what actually exists in your case file:

The AI reviews the information for accuracy, completeness, and consistency, but it has no way to connect any of it to a real person.
Additional Safeguards
Beyond identity shielding, our platform includes several other protections:
- Your data is never used to train AI models. We use enterprise agreements with our AI providers that explicitly prohibit using any data we send for model training or improvement. Your case details do not become part of any AI’s future knowledge.
- Multi-tenant isolation. Our system is designed so that one client’s information can never be accessed by another client or another firm. This is not just a software rule; it is enforced at the database level, making cross-access structurally impossible.
- Human review on every output. AI in our practice is a quality assurance tool, not a decision-maker. Every finding, every flag, and every suggestion produced by AI is reviewed and acted upon by a licensed attorney.
- Local processing for the most sensitive work. For certain categories of highly sensitive information, our system routes the request to an AI model that runs entirely on our own private servers, meaning the data never touches the internet at all.
- Audit logging. Every AI interaction in our system is logged: what was requested, what was returned, and who reviewed it. This creates an accountable, auditable trail.
Our Ethical Framework
We believe that AI, used responsibly, makes us better attorneys. It helps us catch inconsistencies, verify accuracy across complex filings, and maintain quality standards across every case. But “responsibly” is the key word.
Our use of AI is guided by these principles:
- Privilege is non-negotiable. Attorney-client privilege is the foundation of the legal profession. No efficiency gain is worth compromising it.
- Transparency over secrecy. We tell you that we use AI tools, we explain how, and we explain what we do to protect you. You should never have to wonder.
- The attorney is always accountable. AI does not practice law. Your attorney does. AI helps your attorney verify details, catch errors, and maintain quality, but the professional judgment, the strategy, and the responsibility remain with a human being who has taken an oath to represent your interests.
- Privacy by architecture, not by policy. We did not write a policy that says “please don’t send client data to AI.” We built a system that structurally prevents it. Policies can be forgotten. Architecture enforces every time.
